Staff Settings

VivoCalendar supports multi-staff management, enabling you to add staff from various locations to the system.

To add a new staff member:

  1. Click on "ADD STAFF."
  2. In the opening window, you'll see four tabs: DETAILS, WEEKLY SCHEDULE, SPECIAL DAYS, and HOLIDAYS.
  3. In the DETAILS tab, enter the staff member's name, email, phone number, and profile picture. If the staff member works at multiple locations, select the location(s).
  4. Optionally, include a short note about the staff (not visible to customers).
  5. Click SAVE.


By default, staff working hours follow the configuration of the settings. To create a custom timetable, enable the "Configure specific timesheet" checkbox in the WEEKLY SCHEDULE tab. This allows you to set a unique weekly schedule, including non-working days, work hours, and breaks. You can specify start and end times for each workday and designate days off. To add break times, click "Add break" and enter the start and end times. You can add multiple breaks for each day.



In the SPECIAL DAYS tab, you can customize a staff member's schedule for specific days. If a staff member can work on a non-working day for the business or only part of the day, you can set it here. Click "Add special day" and enter the start and end hours. To include break times, click "Add break" and set the break hours. To remove a special day, click "Remove special day."



In the HOLIDAYS tab, you can set specific holidays for staff. To mark a day off, simply click the desired date on the calendar. If your business already has general holidays set in Settings > Holidays, you can add additional holidays for individual staff here. For consistency, it's recommended to align holidays in both the Staff and Settings tabs.


After entering all the staff information, click the ADD STAFF button to save. You can search for staff by name, email, or phone number and sort these fields in ascending or descending order. To edit staff information, click the Edit button.

For deletion, you can remove staff individually by clicking the three dots and selecting Delete, or delete multiple staff members by checking their checkboxes and clicking the Delete icon that appears.
